How Bookings & Reservations work?

Frequently asked questions

How Much Does a Newborn Care Specialist Cost?

The cost of a Newborn Care Specialist can vary depending on the type of support your family needs, as well as the specialist’s training and experience. At The Baby Fairy, rates reflect the level of expertise, the quality of care provided, and the dedication to your baby’s development and your family’s peace of mind.

Most families can expect rates to begin between $40–$50 per hour for singletons, with adjusted rates for twins, or multiples.

What Determines the Rate?

Several important factors influence your final rate, including:

  • Experience & Professional Training
(Certifications, advanced childcare courses, NCS training, sleep conditioning, lactation support, twin/multiples training, etc.)

  • Number of Babies
(Twins and multiples require additional support and expertise.)

  • Schedule & Hours Needed
(Typical shifts are 10–12 hour nights, 5–7 nights per week, with options for daytime care or 24-hour support.)

  • Length of Contract
(Most families book anywhere from 4–12 weeks, with many extending up to 4–6 months, especially with twins or sleep support.

Booking & Availability?

Because families plan ahead for newborn support, Newborn Care Specialists are often reserved 1–3 months in advance. Securing your dates early ensures your family receives the continuity and support you deserve.

Full Cancellation Policy?

Cancellations made 60 days or more before the scheduled start date will forfeit 50% of the retainer/deposit.
Cancellations made within 30 days of the start date will forfeit 100% of the retainer/deposit.
Once services have begun, no refunds are issued for unused scheduled hours or early termination by the family.
If the Specialist must cancel due to an emergency, all unused retainer funds will be refunded or applied to new dates.

Reservation Commitment & Loss of Opportunity?

Once the Family reserves the Specialist and submits the required retainer/deposit, the Specialist immediately blocks off the contracted dates and declines all other job offers for that period.
Because securing the Specialist removes her availability to other families and impacts her ability to obtain alternate employment, any cancellation by the Family results in a loss of opportunity for the Specialist.

For this reason, the retainer/deposit is used to protect the Specialist’s schedule and financial stability, and is non-refundable within 30 days of the start date (or according to the cancellation terms outlined in the agreement).

How Is a Travel Nanny or Travel Newborn Care Specialist Reserved?

Travel Nanny and Travel NCS services are typically reserved well in advance, especially during holidays or peak travel seasons. Because these roles require flying, overnight stays, and full travel coordination, families are encouraged to book as soon as their travel plans are confirmed to secure availability.

Reservation Deposit ?

To reserve your specialist, a non-refundable reservation deposit is required.
This deposit is typically applied toward the total balance of the trip and ensures your Travel Nanny or Travel NCS blocks out the requested dates exclusively for your family.

Final Payment for Travel

All remaining travel fees and service balances must be paid in full on the last working day of travel, prior to the Specialist’s return home. This includes any outstanding hourly/daily rates, travel time, transportation, meals (as applicable), and any additional services rendered during the trip.

Travel Expenses ?

All travel expenses must be covered by the family, including:

  • Round-trip airfare or transportation

  • Baggage fees

  • Lodging

  • Meals and daily stipend (based on the specialist’s dietary needs)

  • Transportation during the trip (Uber, Lyft, rental car, etc.)

Private Accommodations ?

A Travel Nanny or Travel NCS must be provided with private accommodations, defined as:

  • A private hotel room or

  • A private bedroom with access to a bathroom

If overnight infant care is provided, the specialist may share a room with the baby during working hours, but must have private accommodations during off-hours.

Rates & Scheduling ?

Travel support can be offered as:

  • Hourly care

  • Daily rates

  • 24-hour coverage

  • Overnight newborn care

  • Extended support for multiple days or weeks

Rates vary depending on destination, number of children, schedule expectations, by the Travel Nanny or Travel NCS.

How Travel Day works?

A Travel Nanny or Travel Newborn Care Specialist is compensated for all travel-related time, as travel is considered part of the job.
Travel pay begins the moment I leave my home to begin the trip and continues until the moment I return home at the end of the assignment.

All of the following are counted as paid working hours:

  • Airport arrival and check-in time

  • Waiting periods, layovers, and delays

  • Flight time

  • Baggage pick-up

  • All transportation during travel (Uber, Lyft, shuttles, etc.)

  • Any required waiting during travel days

  • Time spent getting to and from airports, hotels, or destinations

This ensures that the specialist is fully compensated for the time dedicated to relocating, traveling, and supporting the family throughout the journey.

Cancellation Policy

If the family cancels after reserving dates, the reservation deposit is non-refundable, as those blocked dates cannot be rebooked with other clients.
